Role Overview

The Executive Assistant (EA) will provide high-level administrative support to the CEO and subset of the Senior Leadership Team, handling a wide range of executive support tasks with discretion, confidentiality, and professionalism. The EA will work independently and collaboratively, ensuring the CEO is well-prepared, organized, and supported day-to-day.

This is a hybrid position, requiring 3 days onsite per week at our Virginia office, with the flexibility to work remotely on the remaining days.

Role Requirements

  • 5+ years of experience supporting a C-suite executive in a fast-paced or high-growth environment
  • Ability to support multiple leaders
  • Track and manage expenses, including preparing expense reports and reconciling budgets.
  • Strong organizational and time-management skills with excellent attention to detail
  • High level of professionalism and discretion in handling confidential information
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing tools (e.g., Zoom, Teams)
  • Excellent communication skills, both written and verbal
  • Proven ability to work independently and adapt quickly to changing priorities
  • Bachelor’s degree preferred but not required

Role Responsibility

  • Manage dynamic calendars and shifting priorities with agility, ensuring executives stay on track in a rapidly changing environment – which can include coordinating with teams across multiple time-zones both domestically and international (coordinating with European-based colleagues regularly)
  • Coordinate domestic and international travel arrangements and prepare detailed itineraries
  • Serve as a liaison between the CEO and internal/external stakeholders
  • Draft, review, and manage correspondence, communications, presentations, and reports
  • Prepare agendas and materials for leadership meetings and follow up on action items
  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
  • Track and manage expenses, including preparing expense reports and reconciling budgets
  • Handle confidential information with discretion and professionalism
  • Support special projects and high-priority initiatives as assigned by the CEO other Senior Leadership Team members
  • In coordination with our Office Manager, oversee daily office operations for our Arlington Office, ensuring a well-organized, efficient, and professional work environment.
  • Manage office supplies, equipment, and vendor relationship in coordination with our Office Manager anticipating needs and resolving issues quickly.
  • Coordinate facilities and maintenance requests, liaising with building management and service providers.
  • Maintain a pulse on executive priorities and anticipate needs to ensure the time is optimized for those they support

The salary for this position typically ranges from minimum to mid-point annually, depending on experience and qualifications.
