Procurement Expeditor Coordinator

Mission

Supervise and coordinate the expediting and document control team activities, ensuring execution is aligned with project objectives, proactively identifying and mitigating critical deviations, and fostering cross-functional collaboration to achieve timely deliveries and documentation in accordance with contractual requirements.

Responsibilities

1. Expediting Management

a. Lead the organization and execution of supplier Kick-Off Meetings.

b. Monitor contractual milestones, ensuring the team effectively follows up on manufacturing progress, planning, quality, and deliveries.

c. Coordinate the early identification of deviations and ensure timely communication of schedule risks to Project Teams.

d. Identify and communicate contractual delays through delay notifications and coordination of recovery plans.

e. Issue and follow up on delay notifications and recovery plans, ensuring their implementation and effectiveness.

f. Ensure coordination between expediting, logistics, and finance teams to support proper delivery management and invoicing processes.

g. Review and approve periodic expediting reports (expediting status, deliveries, cash flow), providing strategic insight to project stakeholders.

2. Document Control Management

a. Ensure that Document Controllers properly configure document management platforms (e.g., Aconex) according to project requirements.

b. Validate document deliverable structures and coding in accordance with established procedures.

c. Supervise document version control, access permissions, and workflow management, including transmittal issuance and document distribution to key stakeholders.

d. Ensure periodic monitoring of document status, supporting the resolution of critical bottlenecks and delays.

e. Promote continuous improvement of document control processes and provide training and support to new team members or project participants when required.

Job Requirements

• University Degree.

• 4–5 years of previous experience in a similar role.

• Advanced English level (B2–C1).

• Experience working with document management systems, preferably Aconex.

• Previous experience in similar functions within renewable energy projects.

• Strong organizational skills, attention to detail, and ability to manage multiple stakeholders in a project environment.
